Executive Assistant & Office Manager
Where: 79–85 Westhaven Drive,Westhaven, Auckland (Parking available)

Fixed Term – 6 months – 20 Hours per Week
$35 to $40 per hour

About the Role
This is a diverse and rewarding position combining executive support, office management, and project coordination. As Executive Assistant & Office Manager, you’ll:
✔ Provide high-level executive support to the Executive Director and senior leadership
✔ Record and manage Board, sector group and AGM meeting minutes with precision
✔ Coordinate support for leadership in key industry events and membership services
✔ Oversee smooth day-to-day office operations
✔ Build strong relationships with members, stakeholders, suppliers and government agencies
You’ll be at the centre of activity — helping drive initiatives that represent and promote New Zealand’s marine industry locally and internationally.
What You’ll Be Involved In:
Executive Support
- Managing communications and scheduling
- Preparing documentation and presentations
- Supporting sector group activities
- Ensuring action points are followed through
Meetings & Governance
- Recording detailed and accurate minutes
- Coordinating the Annual General Meeting
- Managing notices, RSVPs, annual reports and event logistics
- Maintaining confidentiality and attention to detail
Events & Industry Engagement
Support managers running events such as:
- Fiji/NZ Day
- Tahiti /NZ Marine Day
- Other Industry seminars, networking events and conferences
Office Management
- IT and service contract management including monitoring of cyber security.
- Facility oversight (leases, inspections, insurance)
- Managing supplier relationships
- Supporting health & safety compliance
What We’re Looking For
- Proven PA or executive assistant experience
- Strong organisational and planning skills
- Excellent Microsoft Office capability
- Ability to produce accurate, professional meeting minutes
- Clear, confident written and verbal communication
- A positive, “can do” attitude
- Discretion, initiative, and attention to detail
